Executive Office Coordinator

Lead High-Level Ops & Events at a Premier Chicago Organization

Chicago Association of REALTORS® | Chicago, IL | Full-Time | On-Site | $55,000–$65,000

The Chicago Association of REALTORS® (CAR) seeks a sharp, proactive, and highly organized Assistant to support their CEO and COO. This is a high-impact position ideal for someone who thrives in fast-paced environments, excels at managing details behind the scenes, and knows how to keep executive offices running like clockwork.

In this role, you’ll help drive the rhythm of CAR’s leadership team—coordinating board activities, preparing national travel logistics, supporting governance processes, and ensuring day-to-day operations flow with precision.

What You’ll Do
  • Serve as the right hand to the CEO & COO—managing complex calendars, communications, events, and travel.
  • Plan and execute Board of Directors meetings, leadership retreats, and executive committee sessions.
  • Own the logistics and communication flow for CAR’s Board and leadership team (BoardEffect, Robert’s Rules, orientation, and document compliance).
  • Provide operational support for major national meetings (NAR, Illinois REALTORS®, industry partners), including logistics, reimbursements, and real-time event coordination.
  • Support governance functions, including officer nominations, PAGs, and award selection processes.
  • Accompany leadership to events, prep materials, and ensure a smooth presence wherever CAR is represented.
Who You Are
  • A confident communicator who can anticipate executive needs and operate with discretion and poise.
  • Someone with experience supporting senior executives, managing confidential materials, and balancing competing priorities.
  • Comfortable managing up, problem-solving on the fly, and staying three steps ahead.
  • Familiar with platforms like Microsoft Outlook, BoardEffect, DocuSign, and CRM/databases.
  • Skilled in event planning, stakeholder engagement, and working in fast-paced, high-touch environments.
Your Background
  • 2+ years in a similar executive support role (nonprofit or membership association experience a plus).
  • Associate degree in Business, Communications, Hospitality, or a related field (or equivalent work experience).
  • Strong attention to detail and a natural ability to lead from behind the scenes.
